Official StayOS Product Blueprint

The Hospitality Operating System for independent properties.

StayOS manages the complete guest lifecycle—from discovery and enquiry through proposal, reservation, payment, stay, marketing and repeat visits—inside one coherent operating platform.

StayOS Philosophy

We do not build software merely to manage rooms.

StayOS helps independent hospitality businesses create memorable guest experiences, increase direct bookings, operate efficiently and build lifelong guest relationships.

Every feature must improve at least one of three outcomes: guest experience, operational excellence or sustainable property growth.

Platform Structure

Four connected pillars

1. Operations

Dashboard, calendar, reservations, availability, payments, arrivals, departures, housekeeping and maintenance.

2. Sales

Enquiries, guest conversations, hospitality proposals, quotations, reservation holds, deposits and conversion.

3. Experience

Property story, accommodation profiles, galleries, amenities, added value, banking, house rules, policies and brand.

4. Relationships

Guest history, segmentation, campaigns, birthdays, anniversaries, reviews, loyalty and repeat-guest automation.

Core Lifecycle

The complete guest journey

Discovery Marketplace Enquiry Guest Workspace Proposal 48-Hour Hold Booking Deposit Guest Portal Arrival Stay Departure Review Marketing Repeat Visit

Reservations are one stage in the lifecycle, not the entire product. StayOS continues supporting the property before, during and after every stay.

Pillar One

Lodge Operations

Dashboard

A trustworthy daily briefing showing arrivals, departures, unread conversations, holds, follow-ups and operational changes.

Booking Calendar

The visual source of truth for confirmed reservations, quotation holds, owner blocks and maintenance.

Reservations

Confirmed guest stays, allocation, status, payment, guest registration and operational preparation.

Payments

Deposits, balances, proof of payment, transaction history and reconciliation.

Housekeeping

Future operational planning for room readiness, cleaning status and turnover.

Maintenance

Future management of unavailable units, faults, work orders and maintenance blocks.

Pillar Two

Sales and Hospitality Proposals

StayOS proposals should sell the property experience—not merely display a price. They are generated from the property’s Experience Builder and personalised for each guest.

Proposal Structure

✓ Personal welcome message
✓ Property story
✓ Reservation details
✓ Accommodation and gallery
✓ Included amenities
✓ Added-value calculation
✓ Deposit and balance terms
✓ Banking information
✓ House rules and policies
✓ Confirmation call to action
✓ Property contact details
✓ Personal staff signature

Pillar Three

Property Experience Builder

The Experience Builder is the shared source of truth for every guest-facing StayOS experience. A property updates its identity once and the marketplace, proposals, confirmations, guest portal and campaigns inherit the same content.

Property identity and story
Logo, brand colours and hero images
Accommodation marketing profiles
Amenities, features and galleries
Added-value benefits and calculations
Deposit and balance defaults
Banking and proof-of-payment details
Check-in and check-out policies
House rules and cancellation terms
Website, maps and social links
Email and WhatsApp signatures
Marketplace visibility settings

Pillar Four

Guest Relationship and Marketing CRM

Marketing begins with guest history and lifecycle, not with a generic mailing list. StayOS helps a property identify who to reconnect with, why the outreach is relevant and whether it creates reservations.

Hospitality Segments

  • • Previous guests
  • • Guests who never returned
  • • VIP and high-value guests
  • • Birthdays and anniversaries
  • • Family, couple and corporate stays
  • • Preferred accommodation type

Hospitality Campaigns

  • • Seasonal promotions
  • • School holiday offers
  • • Birthday rewards
  • • Return-guest campaigns
  • • Last-minute availability
  • • Review and referral requests

Channel principle

Email supports broad, visual and permissioned campaigns. WhatsApp supports targeted, relevant guest relationships and transactional communication. Bulk messaging must respect guest consent and channel policies.

Unified Workflow

Guest Workspace

The current Unified Inbox will evolve into a lifecycle workspace. Conversations remain central, but the interface guides the operator through the guest’s next action instead of presenting disconnected database tabs.

Work Queues

  • Waiting for reply
  • Quote required
  • Hold expiring
  • Deposit outstanding
  • Arriving soon

Guest Timeline

  • First contact
  • Proposal sent
  • Hold created
  • Booking confirmed
  • Payment and stay events

Quick Actions

  • Create proposal
  • Reserve accommodation
  • Record payment
  • Send guest portal
  • Request review

Public Discovery

StayOS Marketplace

The public marketplace will render live property and accommodation experience data instead of static demonstration listings. Guests discover sellable accommodation types while the operator manages physical units and availability internally.

Platform safeguards

Guest marketing must be permissioned, relevant and compliant with applicable privacy, electronic communications and channel rules.

Credentials, messaging tokens and payment secrets must never be hard-coded in source files or exposed in documentation.

Public marketplace, proposal and guest-portal content must be property-scoped and generated from approved property data.
